Privacy Policy

This policy explains what information we collect, why we use it, who can see it, and the choices available to athletes, guardians, coaches, and visitors.

1. Who we are

Xceptional Hockey operates athlete development programs, events, and a recruiting platform connecting athletes with approved coaches. Questions or privacy requests may be sent to digit@digitmurphy.com or through our Contact Us form.

2. Information we collect

Depending on how you use the platform, we may collect:

  • Account information, including name, email address, role, login credentials, and account status.
  • Athlete information, including date of birth, school, graduation year, location, sport, team, position, height, weight, biography, academic interests, goals, photos, and video links.
  • Camp and residency applications, attendance, waitlist or decision history, verified results, and communications.
  • Coach application details, including professional contact information, organization, team, role, and level.
  • Guardian contact details and consent status where applicable.
  • Support messages and coach contact requests.
  • Basic interaction analytics, including an anonymous browser-session identifier, page path, clicked link or button label, and destination. We do not intentionally use this feature to record the content typed into forms.
  • Technical information necessary for security and authentication, such as cookies, IP-derived anti-abuse signals, browser information, and service logs.

3. How we use information

  • Provide accounts, Xceptional Player Passports, camps, applications, results, inboxes, and recruiting workflows.
  • Operate Coach Connect and the optional UWS NIL brand-development application pathway.
  • Verify and administer coach access.
  • Show visible Player Passports to verified recruiting professionals and manage contact information through separate age-appropriate access controls.
  • Process applications, send service and decision emails, and respond to inquiries.
  • Protect users, investigate misuse, audit sensitive administrative actions, and maintain the service.
  • Understand site usage and improve navigation and features.

We do not sell personal information or athlete profiles.

4. Who can see information

Public visitors cannot access Xceptional Player Passports. Complete profiles are visible by default to administratively approved coaches, agents, and scouts for legitimate recruiting or athlete-development purposes when the player is an adult. Adult players may instead make their Passport private. Minor Passports, and Passports without a confirmed date of birth, remain private and require an approved Passport Access request. For adult athletes, a player-provided email address or phone number is visible to verified professionals who can view the Passport. Contact information for a minor remains protected and requires a separately approved Contact Information request and guardian consent. Passport approval does not approve protected contact access, and contact approval does not make a private Passport visible. Administrators can suspend professional access and review access records.

5. Service providers

We use service providers to host and operate the platform, including Vercel for application hosting, Supabase for authentication, database and file storage, Brevo for transactional email, Cloudflare for security and selected AI-assisted imports, and YouTube or Vimeo when users provide hosted video links. These providers process information under their own terms and privacy practices. Information may therefore be processed in countries other than the user’s country.

6. AI-assisted imports and Coach Connect

If an administrator or athlete uses an import feature, submitted text or files may be processed to extract proposed profile or game-schedule fields. Imported results are drafts and should be reviewed before they are applied or sent. Coach Connect lets athletes choose recipients and send player-approved game schedules that may include selected camp attendance, verified results, and coach-visible video links. We record recipients and delivery status so the athlete can manage their outreach. We do not use AI to make admissions, eligibility, or recruiting decisions.

6A. UWS NIL and external creator tools

The optional UWS NIL pathway collects social profile links, general audience information, content and brand interests, experience, goals, availability, and application review records. This information is reviewed by authorized administrators for athlete brand-development purposes. Links to Cliqk or other external creator tools are informational only. Xceptional Hockey does not automatically create external accounts or transfer Player Passport or UWS NIL application data to those services.

7. Cookies and analytics

Authentication cookies keep users signed in securely. The site also stores a randomly generated analytics session identifier in the browser to distinguish visits and measure clicks. You can clear browser storage and cookies through your browser settings, although clearing authentication cookies will sign you out.

8. Athletes and minors

The platform is not intended for children under 13, and users must be at least 13 years old. Athletes under the age of majority should use the platform with a parent or legal guardian’s involvement. When a date of birth identifies an athlete as a minor, the complete Passport remains private until a Passport Access request is approved. Guardian contact information is required, and separate guardian approval remains mandatory before protected player or guardian contact details are released. Guardian controls do not replace camp-specific participation, medical, liability, or media releases.

9. Retention and security

We retain information while an account is active and as reasonably needed to operate programs, maintain legitimate records, resolve disputes, prevent abuse, and meet legal obligations. We use role-based access, database security policies, approved-coach controls, and administrative audit records. No internet service can guarantee absolute security.

10. Your choices and requests

Adult players can set their complete recruiting Passport to Verified Coaches (Recommended) or Private in Player Portal Settings. Minor Passports remain private and use the Passport Access request workflow. Passport visibility is separate from protected minor contact approval. Players choose which optional profile and contact fields to complete; guardian contact fields are required for minors. Account holders can download an account data export and request account deletion through Settings. You may also ask to access, correct, or delete information, withdraw consent where applicable, or raise a privacy concern by contacting us. We may need to verify identity before completing a request, and some records may be retained when legally or operationally required.

11. Changes

We may update this policy as the platform changes. The effective date will be updated, and material changes may also be communicated through the platform or email.
